POSITION: Coordinator, Leadership Giving

DIVISION/DEPT: Donor Relations

REPORTS TO: Director, Donor Relations – Leadership Giving

JOB SUMMARY

With minimal supervision and a high level of personal initiative and autonomy, the Coordinator’s responsibilities will focus on the coordination and support of the Leadership Giving Team. Responsibilities include overseeing event coordination for prospect and member events and the two annual appreciation receptions. Also assists with supporting membership retention and recruitment efforts in support of leadership giving staff and volunteer campaign leadership team. Develops and implements a year round communication program, building relationships with donors and prospects and extensive research on members and prospects. The Coordinator will also work on special targeted recruitment initiatives, may supervise a Loaned Executive, and participate in special divisional projects and events. Works closely with Director, Leadership Giving team, Assistant Vice President and volunteers. Must be able to work with data that is of a critical and confidential nature.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Participates in the planning and implementation of cultivation and recognition events for the Leadership Circle, Chairman’s Club and Young Leaders programs. Events include annual appreciation receptions and select Young Leader events for members and prospective members. Activities could include: invitations, logistics, catering, print pieces, entertainment, input in budget overview, mementos as take away items, flowers, follow-up and event communications via website and newsletters.
  • Manages year round communications with donors. Also works in partnership with volunteers and staff on donor and prospect solicitation including assisting with workplace campaign strategies to increase giving among assigned giving initiatives. Communications could include solicitation and timely coordination of letters thanking donors for their contributions.
  • Serves as the project manager for the H-E-B Feast of Sharing overseeing all planning aspects of the event including but not limited to volunteer recruitment and management, logistically planning, attending meetings and coordinating with HEB Community Relations team.
  • Supports the leadership giving team and volunteers’ efforts in recruiting and retaining members through meetings, events and activities. Coordinates materials and prepares detail leadership giving reports needed for the campaign leadership meetings and other efforts. Also analyzes and retrieves data for use in strategic planning for leadership giving efforts. Assists in developing growth strategies and does prospect research.
  • Works on special projects and organization wide activities as assigned including supporting key workplace leadership giving campaigns, the Campaign Leaders Conference, Days of Caring, Campaign Kick-Off, Loaned Executive Program and Final Campaign Celebration.

QUALIFICATIONS:

Minimum Education:

  • Bachelor’s degree from an accredited university or five or more years of progressive work experience, including one year of demonstrated fundraising, events coordinating and administrative experience.

Minimum Skills and Experience:

  • Demonstrated use of automated office systems and tasks in performing assigned functions, i.e.
  • PC word processing and analytical software. Knowledge of Raiser’s Edge preferred.
  • Demonstrated strong written and oral communication skills, including public speaking experience.
  • Demonstrated strong customer service orientation.
  • Demonstrated organizational skills and attention to detail.
  • Fosters a workable, effective and productive relationship with other staff, administration,
  • Volunteers, corporate and community organizational executives and personnel.
  • Demonstrated ability in handling confidential information.

Equipment Used:

  • Personal computer and software packages – Windows, Word, Excel, etc., calculator, FAX machine, copier and audiovisual equipment. Working knowledge and exposure to Raiser’s Edge software.

Working Conditions:

  • Work is carried out in a controlled, agreeable environment as generally represented by normal office conditions.

  • Requires frequent contact by telephone, written communication and in person with individuals inside and outside the organization requiring reasonable tact, discretion, self-expression and a working knowledge of the organization and Donor Relations practices and procedures.

Physical Requirements:

  • Physical exertion includes bending, pushing, standing and walking. Must be able upon occasion to move or lift approximately 25 pounds (i.e., overhead projector, etc.)
  • Good vision and good hearing acuity (with glasses and hearing aids if necessary).
  • Skill in use of computer screens and manual dexterity and skill in use of keyboard.

Mental and Aptitude Requirements:

  • Job requires ability to hear and talk, analytical, conceptual, problem-solving, planning and decision- making skills.

Number of Employees Supervised:

  • May supervise two or more Loaned Executives on a seasonal basis (July – December).

Volunteer Relationships:

  • United Way leadership volunteers.
  • Private and public sector volunteers, community volunteers, i.e., local based profit and non-profit executives and their staff, clergy, homeless initiative groups, health care organizations, other special interest and community groups, churches, schools, and new and emerging markets, etc.

Other:

  • Job is responsible in helping to raise the annual campaign goal
  • Must be able to work on a flexible schedule
  • Must have reliable transportation
  • Must have a valid State of Texas driver’s license
